Membership Meeting Minutes from the 2009 KYACAC Conference:

KASCAC Membership Meeting
Thursday, March 19, 2009
Drawbridge Inn, KASCAC Conference Site
Fort Mitchell, KY

 I.                     Meeting Called to Order by Jason Headrick.

II.                  Jason shared with the membership that board reports from the spring board meeting on March 17 would  be available on the KASCAC website the week following the conference.  He encouraged the membership to contact board members with any concerns, questions, etc.

 

III.               A  Call was made for discussion of any Old Business

a.       No old business was raised.

 

IV.                A Call was made for New Business

a.       Jennifer Martin, past-president, was called to the floor.

                                                               i.      Jennifer presented to Jason the proposal to officially change the name of KASCAC to the Kentucky Association of College Admission Counseling, here on  in these minutes to be referred to KYACAC, to bring our name into alignment with the National Association of College Admission Counseling.

                                                             ii.      A call was made for a motion to bring our organization into alignment with NACAC by making this name change.

                                                           iii.      Dian Graham moved to change the name.  The motion was seconded and opened to the floor for discussion.

                                                           iv.      With no discussion, the motion was carried.  Jennifer Martin made note after the motion carried  that KYACAC will remain dedicated to being an organization that is geared to meet the needs of both secondary and post-secondary members.

b.       A recommendation was made by Jennifer to form a By-law Committee to review KYACAC’s current by-laws and work to bring them in to alignment with NACAC.  A call was made for nominations of members to this committee.  It was asked that nominations be given to the president-elect, president, or past-president before them membership meeting on March 20.

c.       A Motion was made for the Officer Slate for 2009-2010

                                                               i.      Jennifer reported that the new recommended officer slate will consist of Sara Yount as treasurer, Dian Meredith as secondary member-at-large, and Kim Chaffer as president-elect. 

                                                             ii.      A call was made for nominations from the floor.

                                                           iii.      With no floor nominations, a motion was made to approve the slate.  A motion was made, seconded, and the motion carried.

d.       A  call was made for additional new business.  No new business was raised.

 

V.                  KYACAC Annual Awards were given at this time.  Winners were as follows:

a.       Human Relations Award—Mike Meredith, Grayson County High School

b.       Carolyn Quire Award—Susan Williams, Calloway County High School

c.       Les Grigsby Award—Deana Ison, Transylvania University

 VI.                 A motion was made to adjourn the meeting.  The motion was seconded and carried.  The meeting was adjourned at 2:20.

KYACAC Membership Meeting

 I.                     Meeting Called to Order by Jason Headrick at 11:50 a.m.

II.                  Jason shared with the membership the importance of supporting NACAC’s IMAGINE Fund which funds the president’s grants to state and regional associations.  Jason shared that each year there is a contest among state and regional associations to determine which associations can have the highest percentage of participation from its members.  Last year, KASCAC (now known as KYACAC) received an honorable metion in that contest.  This year’s results will be announced at the NACAC conference in Baltimore.  He encouraged members to go to the NACAC website to participate.

 

III.               Jason announced that with yesterday’s vote to officially change our organization’s name to KYACAC that we will be sponsoring a competition among high school students to design a new KYACAC logo.  Details will be sent to high schools in the next few weeks.

 

IV.                The dates for next year’s KYACAC Spring Conference in Louisville, KY were announced as March 17-19, 2009.  Next year’s College Counselor Information Exchange date at Papa John’s Stadium in Louisville, KY, on Friday, September 11, 2009.  Members were reminded that the NACAC conference will be held in Baltimore from September 24-27, 2009.

a.       Members were encouraged to attend all of these events if possible, particularly the national conference for its networking and educational opportunities.

b.       Some discussion of possibility of taking a KYACAC bus was discussed

 

V.                  President’s Review of Year

a.       Jason Headrick reflected on his year as president.  Jason noted that he has been gratified by the close-knit feel of this organization and discussed challenges that face our organiation including:

                                                               i.      Effectively working with the Millenial Generation and their parents

                                                             ii.      Economic challenges presented to families by the current recession and even outside of that the rising cost of a college education

                                                           iii.      The high volume of students that secondary counselors are asked to work with and the challenges that presents in effectively assisting them in the transition to post-secondary education.  He hopes that we can work together to improve Kentucky’s current student to counselor ratio of 475:1.

b.       Jason also noted the opportunities presented to our organization as we consider our bylaws and bringing them in line with NACAC and that it gives us the opportunity to continue to work  toward becoming a premiere professional organization in the state.

 

VI.                Jason recognized the 2008-2009 Executive Board members and committee chairs.

VII.             Past-president Jennifer Martin presented a gift of appreciation for his service as president to Jason Headrick.

VIII.           Jason announced nominated members to the Bylaw committee

a.       Nominees included Brian Troyer from the University of Kentucky, Ashley Carey from St. Catherine College, Brad Goan from Transylvania University, Scott Gordon from Western Kentucky University, and Theresa Schuhmann from Assumption High School.

IX.                The gavel was passed from Jason Headrick to our new president, Jim Brown.

 X.                   A motion was made to adjourn the meeting.  The motion was seconded and carried.  The meeting was adjourned at 12:00.

IMPORTANT INFORMATION REGARDING A NAME CHANGE FOR KASCAC

From Past President Jennifer Martin:

Please be aware that at the spring conference we will be voting on a name change for KASCAC.  This is necessary to be in alignment with the NACAC bylaws (see below).  We have opted to go with KYACAC to make sure that Kentucky (KY) stands out (instead of just going with the K).  If you have any questions or comments please feel free to contact:

HERE ARE JUST A FEW OF THE SESSIONS COMING TO
KASCAC 2009:  GOING TO BAT FOR STUDENTS!

 

The Only Constant is Change:  Managing High Turnover in College Admissions
Session description:  The average tenure of a newly hired admissions counselor is 1.7 years and many institutions report losing admissions staff at an average of 3 per yerar.  This can have a severe impact on office morale, productivity, transition for new students, and overall results.  This session will explore national turnover statistics as they apply to college admissions, reasons behind this trend, and how to deal with rapid turnover in your office.  Ample time will be allotted to allow for audience input and information exchange.

 

Generation X Parents – The Game Show
Session description: Helicopter parents of the first wave of Millenials are giving way to the next cohort – the Generation X “Stealth” parents, who are different from their Boomer counterparts.  This multimedia “game show” will review the social moments that have influenced Generation X parents, and will help you better understand and connect with them.

 

“Athlete ELITE”
Session description:  This is a presentation about creating academic advisement groups within your high school to train students how to prepare to become college athletes.  This program was designed and implemented by a senior guidance counselor and a teacher to help student athletes with the process of preparing themselves academically for the recruiting process.  The program also teaches students about how to speak to the media, fill out the clearinghouse forms, understanding their core gpa, how to prepare for the ACT, and to “market” themselves to potential recruiting coaches.  Students learn how to create athletic resumes’, letters of interest, and a speech for their signing day, etc.

 If you’re tired of hearing about how “the school didn’t do anything to help this student get a scholarship for sports”…here’s your answer!

 

2009:  A Guidance Odyssey, Getting Students to Utilize the Guidance Office
Session description:  2009: A Guidance Odyssey focuses on how to get students to apply for scholarships, follow deadlines, or basically read anything you give them without hitting them over the head with a baseball bat [conference theme
J].  The panel will lead a discussion on techniques used from publications to technology to interact with students;  this session is intended to be an information sharing session.  Please bring any ideas with you to this session.  Feel free to bring copies to share with your colleagues, too.

 

The Student Focused Admission Process
Session description:  In 2008, Owensboro Community and Technical College changed its admission intake and advising and registration process for new, returning, and transfer students.  These students now have the opportunity to apply for admission, meet with an advisor, and register for classes in one visit.  Learn about the steps necessary for making the transition toward a more student friendly admission process.

 

Discover College:  Secondary and Postsecondary Partnerships in the 21st Century
Session description:  This session will provide best practices for secondary and postsecondary partners in relationship building, agreeing on agreements, COMPASS (a guide for reducing math remediation), P-16 health science initiative, and millennial career partnerships in Biotechnology and Mechatronics.
